Tombari Electric Ltd., operating as Tombari HVAC ("Tombari," "we," "us," or "our"), respects your privacy and is committed to protecting the personal information you share with us. This Privacy Policy explains what information we collect, how we use it, who we share it with, and the choices you have regarding your information.


This policy applies to information collected through our website at www.tombarielectric.com (the "Site"), our advertising on platforms including Meta (Facebook and Instagram) and Google, our lead intake forms, our customer communications, and our in-person service delivery.

We comply with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and Canada's Anti-Spam Legislation (CASL).


1. Information we collect

We collect personal information in the following ways:

Information you provide directly. When you submit a quote request, contact form, or lead form on our website, Facebook, or Instagram ads, you provide us with your name, phone number, email address, postal code or service address, and details about the service you're requesting. If you become a customer, we also collect billing information, service history, property details relevant to the work performed, and any notes related to your job.

Information collected automatically when you visit our website. When you browse our Site, we automatically collect technical information including your IP address, browser type, device type, operating system, referring URL, pages viewed, time spent on pages, and general geographic location derived from your IP address. This information is collected through cookies, pixels, and similar tracking technologies.

Information from advertising and analytics platforms. We use Meta Pixel (Facebook/Instagram), Google Analytics, and similar advertising technologies on our Site. These tools collect information about your interactions with our website and our ads, including whether you clicked an ad, which pages you viewed, and whether you submitted a form. Meta and Google may combine this information with data they have collected about you from other sources.

Information from third-party service providers. If you are referred to us through a rebate program (such as the Ontario Home Renovation Savings Program), a manufacturer partner, or another contractor, we may receive your contact information and service details from that party.


2. How we use your information

We use your personal information for the following purposes:

  • To respond to your inquiries and provide you with quotes, estimates, and service recommendations
  • To schedule, perform, and follow up on installation, repair, and maintenance services
  • To communicate with you via phone, text message (SMS), and email about your requests, appointments, and service history
  • To process payments and issue invoices
  • To administer warranty and manufacturer rebate claims on your behalf where applicable
  • To send service reminders, seasonal maintenance notices, and promotional offers (you may opt out of marketing communications at any time)
  • To improve our website, advertising, and customer service through analytics
  • To measure the effectiveness of our advertising and to deliver relevant ads to you and similar audiences on Meta, Google, and other advertising platforms
  • To comply with legal, regulatory, and insurance requirements, including TSSA and ECRA/ESA record-keeping obligations


3. How we share your information

We do not sell your personal information. We share your information only in the following limited circumstances:

Service providers who help us operate our business. We share your information with trusted third-party service providers who perform functions on our behalf. These include:

  • Jobber (field service management software) — we use Jobber to manage quotes, schedules, dispatch, invoicing, and customer communications
  • Meta Platforms, Inc. (Facebook and Instagram) — we use Meta for advertising and may share hashed contact information to measure ad performance and build audiences for our campaigns
  • Google LLC — we use Google Analytics, Google Ads, and Google Business Profile; limited information is shared for advertising and analytics purposes
  • Zapier — we use Zapier to transfer data between the platforms listed above
  • Twilio and our SMS providers — used to send and receive text messages
  • Payment processors — used to process credit card and electronic payments
  • Call tracking providers — used to measure which marketing channels generate phone calls


Each of these providers is contractually required to protect your information and use it only for the purposes we authorize.


Manufacturers and rebate administrators. When you purchase equipment or apply for rebates through programs such as the Ontario Home Renovation Savings Program, Enbridge Gas, or manufacturer warranty programs, we share the information necessary to register your equipment and process your rebate.


Legal and regulatory disclosures. We may disclose your information where required by law, court order, or regulatory authority, or where necessary to protect our rights, property, or safety or that of others.


Business transfers. If Tombari is involved in a merger, acquisition, reorganization, or sale of assets, your information may be transferred as part of that transaction. You will be notified of any such change through a prominent notice on our website.


4. Advertising and tracking technologies

We use Meta Pixel and Conversions API, Google Analytics, Google Ads tags, and similar technologies to understand how visitors interact with our Site and our ads, and to serve relevant advertising to you on Meta, Google, and other platforms.

Custom Audiences and Lookalike Audiences. We may upload hashed contact information (email addresses and phone numbers) from our customer database to Meta and Google to reach existing customers with relevant messages and to identify new prospective customers with similar characteristics. This information is hashed (encrypted) before being shared.

Your choices regarding advertising. You have the following options to control advertising based on your activity:

  • Adjust your ad preferences on Meta at facebook.com/adpreferences
  • Adjust your ad preferences on Google at adssettings.google.com
  • Opt out of interest-based advertising through the Digital Advertising Alliance of Canada at youradchoices.ca
  • Opt out of Google Analytics using the browser add-on at tools.google.com/dlpage/gaoptout
  • Adjust your browser settings to block or limit cookies


5. Text message (SMS) communications

By submitting your phone number through our website, lead forms, or Meta/Instagram ads, you consent to receive text messages from Tombari related to your request, including appointment confirmations, technician arrival notifications, quote follow-ups, and service reminders. You may also receive promotional messages from us.

Message and data rates may apply. Message frequency varies based on your interactions with us.

To stop receiving text messages, reply STOP to any text message from us. To get help, reply HELP.

You can also contact us directly using the information in Section 11 to be removed from any communication list.


6. Email communications and CASL

In compliance with Canada's Anti-Spam Legislation (CASL), we send commercial electronic messages only to individuals who have provided express or implied consent. Every commercial email we send includes a clear unsubscribe link. You may unsubscribe at any time, and we will honour the request within 10 business days as required by law.


7. How long we keep your information

We retain your personal information only as long as necessary to fulfill the purposes for which it was collected and to comply with our legal, regulatory, accounting, and reporting obligations. Specifically:

  • Active customer records are retained for the duration of our business relationship and for a minimum of 7 years after the last service, to comply with Canadian tax and insurance record-keeping requirements
  • Lead and inquiry information from non-converting prospects is retained for up to 3 years, after which it is deleted or anonymized
  • Website analytics and advertising data is retained according to the default retention policies of the respective platforms (typically 24–26 months for Meta and Google)

You may request deletion of your information at any time by contacting us (see Section 11), subject to our legal retention obligations.


8. How we protect your information

We implement administrative, physical, and technical safeguards designed to protect your personal information, including:

  • Restricted access to customer data on a need-to-know basis among our employees
  • Encrypted data transmission (HTTPS) on our website
  • Password protection and two-factor authentication on our business systems
  • Written agreements with third-party service providers requiring appropriate safeguards

No method of transmission over the Internet or electronic storage is completely secure. While we use reasonable measures to protect your information, we cannot guarantee absolute security.


9. Storage and cross-border transfers

Your personal information is primarily stored and processed in Canada. However, some of our service providers (including Meta, Google, Jobber, Twilio, and Zapier) operate servers in the United States and other countries. When your information is transferred outside Canada, it becomes subject to the laws of those jurisdictions, which may differ from Canadian privacy law and which may permit government and law enforcement authorities to access your information under applicable legal processes.

By providing your information to us, you consent to this cross-border transfer.


10. Your rights

Under PIPEDA and applicable provincial privacy law, you have the right to:

  • Access the personal information we hold about you
  • Correct personal information that is inaccurate or incomplete
  • Withdraw consent to the collection, use, or disclosure of your information, subject to legal and contractual restrictions
  • Request deletion of your information, subject to our legal retention obligations
  • Unsubscribe from marketing communications at any time
  • Complain to our Privacy Officer (see below) and, if not resolved, to the Office of the Privacy Commissioner of Canada at priv.gc.ca


To exercise any of these rights, contact us using the information in Section 11. We will respond to verified requests within 30 days.
